Voice Inbox is an offline-first voice notes app: capture ideas quickly, organize them in your inbox, and optionally sync or transcribe with Pro. This guide answers the questions people ask most often before contacting support.

Getting started

How do I record a voice note?

On the phone app, tap the red record button. Speak, pause or resume if needed, then stop. The note appears in Inbox with playback. You can also start recording from a home-screen widget or (on supported devices) a watch companion.

Do I need an internet connection?

No for basic capture. Recording, playback, folders, and local search work offline. Internet is needed for sign-in, Pro cloud sync, cloud transcription, AI tools, purchases, and some restore flows.

Do I have to create an account?

No. You can use Voice Inbox anonymously on one device. Sign in with Google or Apple when you want purchases and Pro sync to follow you across devices, or after a reinstall.

Where are my notes stored?

By default, audio and note metadata stay on your device. With Pro and a linked Google or Apple account, notes can also sync to our cloud (Firebase) so they restore on other devices.

Organize & search

How do I organize notes?

Use folders and tags from the note detail or inbox actions. Free includes a small set of custom folders; Pro unlocks unlimited folders and higher tag limits. You can favorite, archive, move, rename, or delete notes from the inbox.

How does search work?

Use the search field to find notes by title, tags, or transcript text when a transcript exists. Voice search uses your device speech recognition for the query (not the same as Transcribe on a recording).

Can I export my notes?

Yes. Export audio or text formats from a note. Free has a daily export limit for common formats (TXT, Markdown, JSON, CSV). Pro unlocks unlimited exports and additional formats such as PDF/DOCX where offered.

Phone & watch

Which watches are supported?

Voice Inbox includes companion apps for Wear OS (Android) and Apple Watch (iOS). Install the matching phone app from the same store account, then install the watch app from the Wear OS / watchOS app listings or the system watch companion flow.

How do recordings get from my watch to the phone?

Record on the watch, then stop. The watch sends the audio to the paired phone over the platform’s companion link (Wear Data Layer or WatchConnectivity). When the phone receives it, the note appears in your Voice Inbox inbox—often labeled as coming from the watch.

Watch says “Sent” but nothing appears on the phone

“Sent” usually means the watch queued the transfer locally. The phone must be nearby, powered on, and paired with an active companion link. Try this checklist:

  • Confirm Bluetooth is on and the watch shows as connected in Wear OS / Watch / phone Bluetooth settings.
  • Open the Voice Inbox phone app once so it can finish importing pending recordings.
  • On Android, install both the phone app and the Wear OS Voice Inbox app (same developer listing / matching version when possible).
  • Keep phone and watch signed into the same Google or Apple account used for the store install when the platform requires it.
  • If the devices were unpaired, re-pair them, then record a short test clip again.
Do I need Pro to use the watch?

Recording on the watch and sending clips to the phone uses the free capture path (subject to free-tier active recording limits). Pro is required for cloud sync, cloud transcription, and other Pro features after the note lands on the phone.

Account & cloud sync

What is the difference between sign-in and sync?

Identity is free. Signing in with Google or Apple links your account for restore and purchases. Cloud sync is Pro. Syncing notes, audio, folders, and related data across devices requires an active Pro (or Pro+) entitlement and a linked Google or Apple account—not anonymous-only.

How do I turn on cloud sync?
  1. Upgrade to Pro (or start a trial if offered).
  2. Sign in under Settings → Account with Google or Apple.
  3. Use Settings → Sync now (or wait for automatic sync after capture when Pro sync is active).
What gets synced?

Typically note metadata, audio files, folders, and related organization data (such as rules/templates where available). Sync pushes local changes and pulls missing items from the cloud so another signed-in Pro device can restore your inbox.

Sync now is disabled or does nothing

Confirm you have Pro active and that you are signed in with Google or Apple (not anonymous). Check your network connection. If you recently purchased, wait a moment, then use Restore purchases and open Sync now again.

I got a new phone. How do I restore my notes?

Install Voice Inbox, sign in with the same Google or Apple account, restore purchases if needed so Pro is active, then sync. Notes that were never synced (free / offline-only) cannot be restored from the cloud—export or back up before switching devices when possible.

Transcription & AI

How does Transcribe work?

Open a note and tap Transcribe. On the free plan, this opens the Pro paywall. On Pro, Voice Inbox sends the audio to cloud speech-to-text and attaches the transcript to the note. Usage may consume VoiceCredits / cloud STT minutes according to your plan.

Is there offline / on-device transcription?

Product transcription is cloud-based for Pro. Free does not include Transcribe. Capture and playback still work fully offline.

What are VoiceCredits and AI tools?

Pro and Pro+ include monthly VoiceCredits for cloud transcription and AI features (for example summaries and related tools). Pro+ adds higher credit and storage allowances and advanced AI where offered. Check Settings or the paywall for your current plan and remaining usage.

Transcription is stuck or failed

Stay online, keep the app open briefly after tapping Transcribe, and retry. Very long recordings may take longer. If credits or cloud STT minutes are exhausted, wait for the next period or upgrade. If a note stays on “Transcribing…” after a failed network attempt, reopen the note and try again.

Free, Pro & billing

What do I get on Free vs Pro?

Free includes local recording with caps (active notes, folders, tags, daily exports) and may show ads. Pro removes ads, unlocks unlimited recordings (within reason), cloud sync (with sign-in), cloud transcription, AI tools, higher limits, and extra export formats. Pro+ raises credits, storage, and advanced AI allowances. Exact caps can change; the in-app paywall shows the current offer.

How do I subscribe or restore Pro?

Open the paywall from Settings or a locked feature, then purchase through the App Store or Google Play. To restore on a new install, use Restore purchases and sign in with the same account you used when you subscribed.

How do trials, renewals, and refunds work?

Introductory trials and renewals are managed by Apple or Google under their store rules. Cancel or change auto-renew in your App Store / Google Play subscription settings. Refund requests also go through Apple or Google—not through the Voice Inbox support form alone.

Why am I seeing ads?

Banner ads appear on the free tier. Pro and Pro+ hide ads. If you already paid but still see ads, restore purchases and confirm the Pro entitlement is active under Settings.

Widgets & shortcuts

How do I add the Quick Record widget?

On Android, use Settings → Quick Record widget (or your launcher’s widget picker) to pin the record button. On iOS, add the Voice Inbox widget from the Widget gallery. Tapping the widget jumps into capture so you can record without hunting for the app.

Privacy & deleting data

Who can hear my recordings?

Notes stay on your device unless you use Pro sync or Pro cloud features. Cloud transcription and AI tools send audio or text to our providers (such as OpenAI) only when you use those features. See the Privacy Policy for details.

How do I delete my account and data?

In the app: Settings → Delete account & data. That removes local content and, where possible, cloud data and your auth account. You may need to re-authenticate with Google or Apple to finish. If you cannot complete deletion in-app, contact support.

Troubleshooting

Microphone permission or recording fails

Grant microphone access in system Settings for Voice Inbox. Close other apps that hold the mic, and check that Do Not Disturb / Focus modes are not blocking the companion watch app. After an OS update, open the app once and accept any new permission prompts.

I hit the free recording or folder limit

Free plans cap active recordings and custom folders. Archive or delete old notes, or upgrade to Pro for higher limits. Caps are enforced locally so your inbox stays manageable on the free tier.

What should I include when contacting support?

Send your platform (iOS / Android / watch), app version, a short description of what you expected vs what happened, and your Account ID from Settings (when shown). For billing, mention the store you purchased from. For watch transfer issues, note whether the watch and phone show as connected.
